POST CLOSING IMAGING CLERK

DIRECT REPORTS FROM:

|
Generally, this position does not have direct supervisory responsibilities but may informally supervise junior department personnel.
|
|
MINIMUM REQUIREMENTS FOR POSITION:
|
|
· High school diploma or equivalent.
· Demonstrated expertise in the use of standard and specialized computer hardware and software packages such as Microsoft Office Suite.
· Ability to use a variety of various office equipment.
· Ability to effectively communicate information clearly through all media channels (phone, email, letter, etc).
· Ability to effectively interact with customers at all levels.

PRIMARY ACTIVITIES AND RESPONSIBILITIES:
|
|
The primary responsibilities of this position are to image documents for loan and credit files; track received loans; deliver mail.
|
|
· Image all new loan files within 48 hours of upload.
· Image all exception items within 48 hours of receipt.
· Image all other documents within 24 hours of receiving in the scanning area.
· Accurately log all incoming loans in the spreadsheet for tracking purposes.
· Pulling matching files for incoming loans and deliver to uploading clerk.
· Deliver and pickup department mail to and from various locations within the bank at predetermined times.

SECONDARY ACTIVITIES AND RESPONSIBILITIES:
|
|
Other duties or responsibilities for this position are:
|
|
· Coach/train teammates on proper document preparation for scanning as necessary.
· Barcode loan files and exceptions as needed.
· Maintain list of boxes for storage and coordinate the moving of those boxes to off-site storage.
· Request boxes from off-site storage as needed.
· Assist in clearing loan documentation exceptions.
· Assist tracked insurance clerk as needed.
· Assist uploading clerk as needed.
· Assist internal and external customers with imaging or account questions.
· Participation in daily huddles.
· Participation in weekly department meetings.
· Participation in quarterly town meetings after work hours.
· Maintain a working understanding of, and comply with applicable banking regulations as well as internal policies and procedures.
· Open and organize incoming payments for posting clerk daily.
· Sort, stuff and mail loan notices, bills, and statements daily.
· Assist with loans escrows

SPECIFIC PERFORMANCE OBJECTIVES:
|
|
· 1% error ratio for missing or miss-scanned documents in loan files.
· Assure all new loans are imaged within department Service Level Agreement standards (currently within 48 hours of upload).
· Assure all other documents are imaged within department Service Level Agreement standards (currently within 48 hours of receipt in department).
· Assure all incoming loan packages are accurately matched prior to delivering to uploading clerk.
· Have incoming loans logged-in and delivered to uploading clerk within 30 minutes of receiving.
· Deliver and retrieve mail in an effective and timely manner.

Work is performed in a general office environment. Work area is a low-wall cubicle in a large open area with many people.
